Who we are
This Privacy Policy explains how Total BS LLC, doing business as Flour City Photo Booth Co., in Rochester, New York ("we," "us," or "our"), collects and uses information through flourcityphotobooth.com and our booking pages. Information you give us
When you send an inquiry or book with us, we collect:
- Your name, and the names of anyone else you list (such as a partner or event contact).
- Your email address and phone number.
- Event details, such as the date, times, type of event, and guest count.
- Venue name and address, and venue coordinator contact details if you provide them.
- Any notes or messages you send us.
Information collected automatically
- When you submit a form, we record your IP address and browser information. We use this to prevent spam and abuse.
- When you accept a rental agreement, we record the date and time, your IP address, and your browser information as a record of your acceptance.
Payments
Payments are processed by Stripe. When you pay, your card details go directly to Stripe. We do not see or store your full card number. We receive limited information from Stripe, such as the payment amount, date, status, and the last four digits and brand of your card. Stripe's use of your information is covered by Stripe's own privacy policy.
Files you upload
Your booking page may let you upload files, such as logos, artwork for photo templates, or venue details. We use these files only to prepare for and provide your event, and we keep them with your booking.
Event photos
Photos taken at your event are stored in an online gallery. Our rental agreement explains how long galleries stay online and how you can opt out of us using your images in marketing.
Analytics
We use Plausible Analytics to understand how people use our website. Plausible does not use cookies and does not collect personal data. It gives us overall counts, such as page views and referring sites, without identifying individual visitors.
Cookies
We use only two cookies:
- A session cookie that keeps the website working while you use it, for example when you fill out a form. It expires when you close your browser or shortly after.
- A partner referral cookie. If you arrive at our site through a partner's referral link, we store the referral code in a cookie for 30 days so the partner can be credited if you book.
We do not use advertising or tracking cookies.
How we use your information
We use your information to:
- Respond to your inquiry and send quotes.
- Manage your booking, payments, and event planning.
- Coordinate with your venue.
- Deliver your photos and gallery.
- Credit referral partners.
- Prevent spam, fraud, and abuse.
- Keep records required for taxes, accounting, and legal purposes.
We send emails about your inquiry and booking, such as quotes, confirmations, payment reminders, and gallery links. We use an email delivery service to send these messages, and that service processes your email address and the message content on our behalf. We do not add you to a marketing list without your permission.
Who we share information with
We do not sell your personal information, and we do not share it for advertising.
We share information only as needed to run our business:
- With service providers who help us, such as our payment processor, email delivery service, and website hosting provider. They may use your information only to provide services to us.
- With your venue, when needed to coordinate your event.
- With a referral partner, limited to the fact that a referred booking was made and completed, so they can receive their reward. We do not share your contact details with partners without your permission.
- When required by law, or to protect our rights, safety, or property.
Partner program
If you join our partner program, we collect your name, business name, email address, phone number, payout details, and the records of referrals connected to your code. We use this to track referrals and pay rewards. We keep partner records for as long as you are a partner and afterward as needed for tax and accounting purposes.
How long we keep information
- Inquiries that do not become bookings: we keep them for up to two years, then delete them.
- Bookings, agreements, and payment records: we keep them for up to seven years for tax, accounting, and legal purposes.
- Event galleries: at least 90 days after the event, as described in our rental agreement.
- Spam prevention logs: kept only as long as needed for that purpose.
Your choices and requesting deletion
You can ask us to see, correct, or delete the personal information we hold about you by emailing hello@flourcityphotobooth.com. We will respond within a reasonable time. We may need to verify your identity first. We may keep some information when we are required to by law or need it for legitimate business records, such as signed agreements and payment records.
Security
We use reasonable safeguards to protect your information. No website or system is completely secure, so we cannot guarantee absolute security. If we learn of a data breach that affects your personal information, we will notify you as required by New York law.
Children
Our website and services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has sent us personal information, contact us and we will delete it. Photos of guests of all ages may be taken at events, and those photos are handled under the event client's rental agreement.
Changes to this policy
We may update this policy from time to time. When we do, we will change the "Last updated" date at the top. If we make significant changes, we will make reasonable efforts to let active clients know.
Governing law
This policy is governed by the laws of the State of New York.
